We’re looking for an expert collaborator and fast learner to join our team as a HR Operations specialist, where you’ll be responsible for the support and administration of our HR-related systems, including UltiPro, Cornerstone and our proprietary iCIMS ATS. In this role, you’ll serve as a consultative partner to various groups within the Talent function to help increase productivity, enhance reporting and preserve data integrity. You’ll also collaborate with our Infrastructure Shared Service team and vendors to resolve any systems integration or technical issues, as well as keep up with system releases and train end users on new features.     Responsibilities

    General

    • Provides support and administration for all Human Resources systems (HRIS, ATS, LMS) including configuration, functionality, and operations. Ensures the team consistently utilizes best practices.  
    • Assists technical teams with system integration efforts when applicable. 
    • Works with external technology vendors to implement new functionalities as well as the implementation of plug ins or add-ons to the iCIMS platform.  Escalates issues and liaises with internal partners to leverage technology solutions to ensure requirements are accurate and meet the needs of the Company. 
    • Works with system users and stakeholders to provide troubleshooting, researching, problem solving of issues and guidance as needed. 
    • Develops and maintains system related documentation & training materials, updating as necessary to reflect changes implemented in process and/or system functionality due to releases 
    • Modifies company set up, organizational hierarchy, business rules, workflows/approvals and notifications as necessary across HR systems to reflect scaling business needs. 
    • Provides project coordination and support for the HR team on any projects as needed by the team for these systems. 
    • Consistently ensure that business is conducted with integrity at all times and that behavior aligns with iCIMS policies, procedures, and core competencies

      

    ATS 

    • Establish person & job profiles, working with custom fields on job profiles, merging person profiles  
    • Provide User Admin access:  Managing users, system-wide configurations, configuring recruiting workflow statuses, pinning tab to recruiting workflow profile, configuring screening questions, configuring approvals, updating source lists, configuring portals, applying dynamic filters 
    • Configures/modifies connect, on-board and social distribution as needed to support business outcomes 
    • Maintains/modifies Dashboard set up for Talent team and Hiring Managers 
    • Manages templates in Job Library & manages task library 
    • Partner with Labs and TAM on Releases and functionality changes – provides training to team as appropriate 
    • Audits key activities to ensure compliance and execution according to SOPs 
    • Partners with decision support & Talent leadership on recruiting metrics 
    • Drives best practice utilization by recruiters; proactively identifies enhancements and tools to drive productivity and compliance. 
    • Partners with iCIMS TAM on Systems optimization and systems health check ensuring best practices are deployed 

      

    Ultimate 

    • Audits new hires and separations to ensure data accuracy and integrations between systems are working appropriately.  Troubleshoots and resolves issues as identified. 
    • Provides support in the coordination of benefits system set up for relevant events (i.e. open enrollment set up, acquisitions, etc.) and rules or law - based requirements (i.e. Generating 1095-Cs and 1094Cs).   
    • Maintains user & role administration  
    • Support annual forecasting efforts for new headcount to ensure completeness position management 
    • Partner with Decision Support on BI reporting 
    • Generates and communicates reports such as the EEO-1, VETS 4212 and OSHA compliance.  

      

    Cornerstone 

    • Manages a workflow audit cadence to ensure accuracy, compliance and associated efficiencies. 
    • Provides support across Talent to support Annual Performance Management processes as well as Succession Planning.

    Qualifications

     

    • A minimum of 5 years of HRIS, ATS (or related system) administration experience preferred. 
    • A minimum of 2 years of experience in talent acquisition preferred. 
    • Ultimate HR knowledge highly desirable 
    • Strong understanding of HR processes, workflows and systems 
    • Proficiency in use of Microsoft Office products 
    • Demonstrated success in serving as an SME on an ATS or HRIS. 
    • Detail-oriented and organized: keeps track of multiple projects and priorities using documented organizations tools, plans, timelines. 
    • Self-disciplined: approaches work with consistency, reliability and punctuality. 
    • Excellent written and verbal communication skills: able to communicate effectively 
    • Excellent interpersonal skills and team player attitude: able to build rapport and trust with colleagues and demonstrate alignment with team's priorities 
    • Ability to give and receive constructive feedback
