We’re looking for an expert collaborator with a flair for project management to join our team as a Training Coordinator, where you’ll be responsible for coordinating all customer-facing training efforts, including webinars, workshops, onsite training events, and more. As a Training Coordinator, you’ll manage the shared training calendar and serve as the glue between workplace shared services and our customer-facing teams to ensure that everyone remains aligned, informed, and that everything is running smoothly. You’ll work with release management to look at product changes coming down the pike, and help with scheduling webinars, coordinating logistics, sending out crucial communications, and generating reports.     Responsibilities

    • Organize and maintain a complex shared Outlook calendar
    • Partner with team members to determine dates for training sessions
    • Use established processes to determine and communicate teaching assignments
    • Create accurate and timely web conferencing events
    • Maintain and enhance content and events on the customer support site
    • Maintain accurate process documentation
    • Communicate with the team and interdepartmentally in an effective and efficient manner
    • Ensure preparation of all attendees for planned training events (pre-requisites, outreach, etc.)
    • Communicate with training attendees by email and phone to answer general questions and assist with training registration
    • Assist with basic course material updates
    • Review survey results and create reports
    • Identify and help implement process improvement opportunities
    • Act as an administrator for event and learning management systems (planned for future)
    • Print, organize, and distribute training materials
    • Assist with catering orders and other logistical arrangements for training sessions
    • Maintain a strong understanding of iCIMS products
    • Assist with additional projects as needed
    • Consistently ensure that business is conducted with integrity and that behavior aligns with iCIMS policies, procedures, and core competencies
    • Demonstrates a sense of urgency and takes initiative
    • Maintains flexibility and reacts to change appropriately
    • Receives and acts upon feedback for continual professional development
    • Other duties as assigned

    Qualifications

    • 3+ years of professional experience in a related field
    • Desire to be part of and contribute to an extremely collaborative team environment
    • Extreme attention to detail and organizational skills
    • Demonstrated customer service orientation
    • Excellent writing skills
    • Exceptionally self-motivated with an ability to learn quickly and autonomously
    • Excellent communication and interpersonal skills: articulates thoughts and ideas (technical and non-technical) clearly, concisely, and persuasively
    • Experience handling complex logistics and coordination tasks
    • Experience developing and managing process documentation
    • Ability to plan, undertake and finish activities to achieve high quality results within set deadlines
    • Ability to collaborate and communicate with a range of different personality types at all levels of the organization in a facilitative and mature manner
    • Ability to juggle multiple projects simultaneously, adhere to project plans, and adapt to shift direction frequently as dictated by the changing nature of software
    • Demonstrated commitment to keeping sensitive information confidential
    • Ability to work effectively within a fast paced, changing environment that is going through high growth
    • Proficiency with Microsoft Office (PowerPoint, Excel, Outlook)
    • Experience with project management, event management, and learning management software preferred

     

    Education/Certifications/Licenses Required
    • BA/BS preferred
